How to switch managed IT providers in Melbourne

A practical handover checklist for Melbourne businesses changing IT providers. Protect access and backups, plan the cutover and reduce disruption.

The short answer

To change IT providers, first confirm your contract terms and ownership of key accounts. Inventory systems and backups, agree a handover plan with the incoming provider, then move support responsibility in stages. The aim is to limit disruption, but no provider can promise a risk-free or zero-downtime transition before reviewing your environment.

1. Check the contract and choose a transition window

Read the current agreement for notice periods, renewal dates, termination charges and ownership of documentation. Identify busy periods to avoid. If contract terms are unclear, ask for appropriate legal advice before sending notice.

2. Confirm business ownership of essential access

Keep a secure inventory of your domain registrar, DNS, Microsoft 365 tenant, administrator accounts, backup systems, internet services, devices and important software subscriptions. Use your own authorised administrators to verify access. Never send passwords through a public enquiry form.

List the applications, vendors and contacts your team depends on. Record which services are billed to your organisation and which are held by the existing provider.

3. Agree a written handover plan

Ask the incoming provider to document responsibilities, discovery work, permission changes, backup checks, proposed dates and rollback steps. Confirm how remote management or security agents will be changed and whether tools can coexist during the transition.

Request a clear support contact for both providers during handover. A cooperative transition reduces ambiguity when an issue appears.

4. Verify backups and communicate with staff

Identify what is backed up, who can restore it and when a restore was last tested. Check this before access is revoked or services are cancelled. Tell staff when the support contact changes and how to report urgent issues.

5. Review after cutover

Confirm that staff can sign in, email flows, critical applications work, backups run and agreed documentation has been transferred. Revoke the former provider’s access when the new arrangement is stable and authorised. Keep a record of unresolved items and ownership.

Support: What are the support hours, response commitments, escalation path and on-site terms?

Security: Who owns administrator access, backup configuration, incident response and account recovery?

Exit: How will you receive your documentation and transfer access if you change providers again?
