Does Microsoft 365 include backup?
Microsoft 365 includes service resilience plus native retention and recovery features. Microsoft also offers Microsoft 365 Backup as a separate product for eligible workloads. These are different layers, and none should be assumed to meet every accounting firm’s retention and recovery requirement without checking configuration, licensing and scope.
Microsoft describes its backup product as covering selected Exchange mailboxes, OneDrive accounts and SharePoint sites. Review the current Microsoft 365 Backup documentation and your tenant settings before choosing an approach.
Start with recovery requirements
Identify the data and services the firm needs to restore, how much data loss is acceptable and how quickly work must resume. Include Exchange, OneDrive, SharePoint, Teams and any practice-management or client-record systems outside Microsoft 365.
- Which users, sites and shared mailboxes are protected?
- How long is recoverable data retained?
- Can administrators restore to the required point in time?
- Are backup administration and deletion protected from compromised accounts?
- How often are restores tested and recorded?
- Who owns recovery during an incident or provider transition?
Native recovery features still matter
Recycle bins, version history, retention policies and holds can help with common recovery and compliance scenarios. Their behaviour depends on workload, configuration and licensing. Document what is enabled and test representative recovery scenarios rather than assuming default settings meet the firm’s needs.
When a separate backup may help
A separate backup service may be appropriate when the firm needs different retention, administrative separation, recovery workflows or coverage. Compare Microsoft 365 Backup and third-party products against the same written requirements. Confirm data location, security controls, export options, pricing and provider exit arrangements.
Accounting data outside Microsoft 365
Microsoft 365 protection does not cover every system used by an accounting firm. Confirm backup and recovery responsibilities for Xero, MYOB, document management, tax software, file servers and endpoint data with the relevant vendors. Record the boundaries so important data is not missed.

Is retention the same as backup?
Retention can preserve content for defined compliance and recovery scenarios, while backup products may provide different recovery points and administration. Compare both against the business requirement rather than relying on the label.
How often should restores be tested?
Use a schedule based on risk and contractual needs, and test the systems the firm actually depends on. Record the result, time taken and any corrective action.
